Retention Rule Number: General Retention Rule 98.0011

Function/Activity: To document the compilation of temporary documents intended for correction or created in order to prepare original documents.

Description/Type of Records: Drafts and working materials including source material used in the preparation of documents and earlier versions of final documents such as reports, articles, correspondence, minutes, legal documents, budgets, policies, standards, guidelines and procedures.

Retention Rules

Office of Primary Responsibility (OPR) Retention Disposition
All units Most drafts and working materials need only be retained for as long as required for administrative or reference purposes.

 

However, some drafts will have permanent value.

Recycle or delete. If contains confidential information, confidentially shred or delete.

Transfer to Archives the following:
Drafts that show substantive changes to legal documents, budgets, policies, standards, guidelines and procedures.

Restrictions:: Any restrictions imposed on the original document also apply to its draft.
